referDot Pro
Pro documentation
Run referral programs from your own workspace — with examples you can copy.
Overview
referDot Pro is a business workspace at referdot.com/your-slug (public) with a private console at /your-slug/dashboard. You manage clients, generate unique referral codes, look them up in-store, track rewards, and invite your team.
- New here? Step-by-step setup guide (account → verify → workspace → first lookup)
- Marketing & signup: /pro → /pro/start
- Public customer page:
/your-slug· console:/your-slug/dashboard - Console: dashboard, clients, lookup, rewards, team, billing, settings
Setup guide
Follow the dedicated walkthrough to create your Pro account and go live at the front desk — with examples for each step.
How Pro compares
Tools like ReferralCandy and PartnerStack are strong for e‑commerce and enterprise partner programs. Pro focuses on local and growing businesses that need unique codes and fast desk lookup — without enterprise PRM pricing.
A salon wants each regular to have a phone-based code. At checkout, staff open Code lookup, type the digits, confirm the client, and leave “Redeemed in store.” Spreadsheets break; big PRMs are overkill.
See the visual comparison on /pro#compare.
Your workspace
Create a workspace with a display name and URL slug. If the slug matches a store in the referDot catalog, it may stay pending admin approval until a platform admin reviews it.
Name: Acme Salon · Slug: acme-salon → console /acme-salon/dashboard · public /acme-salon. Upload a logo under Settings so the public page looks on-brand.
Email + phone verification
Every Pro seat stays PENDING until the user has both a verified email and a verified phone. Until then you are sent to /pro/verify and cannot use workspace tools. When both are done, the seat becomes ACTIVE.
1) Confirm email from the link. 2) Open /pro/verify. 3) Enter your mobile number and SMS OTP. 4) Refresh — you can open /your-slug/dashboard.
Clients & referral codes
Clients are your customers/advocates. Each can have a unique referral code. Default format is PHONE (normalized digits) so codes match what people say at the counter. Other formats: RANDOM, NAME_SUFFIX, CUSTOM.
CSV import columns: firstName, lastName, email, phone, referralCode, codeFormat, tags, stage. Export anytime from Clients.
Clients → Add → First name Maya · Phone +1 555 0100 · Format PHONE → code like 5550100.
firstName,lastName,phone,codeFormat Alex,Ng,+15550199,PHONE Jordan,Lee,+15550200,PHONE
Code lookup
Open Code lookup at the front desk. Enter the code to match a client, then log a note (preset chips like “Redeemed in store” speed this up). Lookups count toward trial usage when limited trials are enabled.
Customer says “my code is five-five-five-zero-one-zero-zero.” Staff enter 5550100 → Maya Chen appears → tap Redeemed in store → Save.
Team seats
Roles: Owner (billing + org), Admin (most management), Staff (lookup + read). Invite by email; the invitee accepts, then completes identity verification. Seat limits apply per plan.
Team → Invite cashier@shop.com as Staff → they open the invite link → verify email + phone → ACTIVE → use Code lookup.
Rewards & conversions
Create reward rules (percent or fixed), then log conversions when a referred sale happens. Approve conversions and mark them paid when you pay out. Use Fraud for suspicious patterns.
Rewards → rule “Advocate 10%” → log conversion for code 5550100 · amount $120 → Approve → Mark paid after you issue the credit.
Public landing
Share /your-slug with customers. Settings control the tagline, brand logo, brand color (color chart or custom hex), and whether the landing is enabled. The accent tints your public page and workspace chrome.
Settings → enable public landing → upload logo → pick Teal from the color chart → print QR to https://referdot.com/acme-salon.
Follow-ups (email / SMS)
Send thank-you or reminder messages from Follow-ups. Email uses platform SES/Resend; SMS needs Twilio enabled by a referDot admin. Marketing sends respect unsubscribe; SMS STOP is handled via webhook.
Follow-ups → pick Maya → Email → “Thanks for sending Jordan!” → Send. For SMS, confirm Twilio is on platform-wide first.
Billing & trial
New workspaces often start on a trial (days and/or action caps set by platform admins). Owners open Billing to subscribe with Stripe when ready. If a trial ends, tools may lock until you subscribe or an admin extends access.
Billing → Subscribe → complete Stripe Checkout → plan status becomes ACTIVE. Manage payment method via the customer portal when available.
End-to-end examples
1) Create workspace café-river. 2) Import regulars with phone codes. 3) Put /café-river on a table tent. 4) When someone mentions a code, barista opens /café-river/lookup. 5) Log conversion when a free drink is earned.
1) Owner invites two Staff. 2) Both verify phone. 3) Front desk A and B use the same Lookup page. 4) Admin reviews Rewards weekly and marks paid.
