Set up your Pro account

Step-by-step from signup to your first in-store lookup — with examples.

Before you start

Have these ready:

  • A business name and a short URL slug (letters, numbers, hyphens)
  • Access to your email inbox
  • A mobile phone that can receive SMS
  • Optional: a CSV of customers (name + phone) if you want to import many at once

1. Create a referDot account

  1. Open Register (or Log in if you already have an account).
  2. Sign up with email/password or Google (when enabled).
  3. After you are signed in, you can continue to Pro from /pro or your profile Pro tab.

Register as you@acmesalon.com → confirm you can sign in at /login → go to /pro.

2. Verify your email

  1. Check your inbox for the referDot verification email.
  2. Click the confirmation link.
  3. Return to the site and sign in again if prompted.

If nothing arrives in a few minutes, check spam/promotions. You can also request a new verification email from account settings when available.

Pro seats stay PENDING until both email and phone are verified. Email alone is not enough.

3. Verify your phone

  1. Open /pro/verify.
  2. Enter your mobile number in international format when asked (E.164, e.g. +15550100).
  3. Tap send code → enter the SMS OTP.
  4. When both email and phone are verified, your Pro seat can become ACTIVE.

Phone +15550100 → SMS: “Your code is 482913” → enter 482913 on /pro/verify → success. Then create or open your workspace.

4. Create your workspace

  1. Go to /pro/start (also linked from /pro).
  2. Enter Business name (shown in your console).
  3. Choose a Workspace URL slug — this becomes referdot.com/your-slug (public) and console at /your-slug/dashboard.
  4. Watch the live slug check: available, taken, or “needs approval” if it matches a catalog store.
  5. Submit to create the workspace. You become the Owner.

Name: Acme Salon → slug auto-fills acme-salon → create → open console /acme-salon/dashboard · public /acme-salon.

If you pick a slug that matches a store in the referDot catalog, the workspace may show a pending-approval banner. You can still prepare clients; a referDot admin must approve the slug (or you can rename).

5. Open the console

  1. Land on your dashboard at /your-slug/dashboard.
  2. Confirm the purple PRO chrome and your business name in the sidebar.
  3. Bookmark the URL, or reopen it from your profile Pro tab / user menu.

6. Add your first clients

  1. Open Clients in the sidebar.
  2. Click Add — enter first name and phone (recommended). Default code format is PHONE (digits staff can hear at the counter).
  3. Or Import CSV with columns like firstName,lastName,phone,codeFormat.

7. Run a code lookup

  1. Open Code lookup.
  2. Type the client’s code (e.g. 5550100).
  3. Confirm the match, then save a note — use a preset chip like “Redeemed in store.”

Customer: “Code five-five-five-zero-one-zero-zero.” Staff enter 5550100 → Maya Chen → Redeemed in store → Save. You’re live.

8. Set up the public landing & logo

  1. Open Settings.
  2. Upload your brand logo.
  3. Pick a brand color from the color chart, or use Custom / hex (e.g. #0D9488).
  4. Enable the public landing and set a short tagline if offered.
  5. Share /your-slug (QR code, Instagram bio, table tent).

Settings → Brand color → tap Teal on the chart (or open Custom and pick any hex) → Save. Your /go page and workspace accents update.

9. Invite your team

  1. Open Team.
  2. Invite by email as Admin or Staff (Staff is ideal for front desk).
  3. They accept the invite at /pro/invite/…, then complete email + phone verify — seat stays PENDING until both are done.

Invite desk@acmesalon.com as Staff → they register/sign in → /pro/verify → ACTIVE → open /acme-salon/lookup.

10. Rewards (optional)

  1. Open Rewards.
  2. Create a rule (e.g. 10% credit or $10 off next visit).
  3. When a referred sale happens, log a conversion against the advocate’s code.
  4. Approve, then mark paid when you issue the reward.

Rule: “Advocate $10” → Jordan used Maya’s code · $80 ticket → log conversion → Approve → Mark paid after you apply Maya’s credit.

11. Billing after trial

  1. Open Billing to see plan status and trial days left.
  2. When ready, subscribe with Stripe (if enabled on the platform).
  3. If the trial ends and tools lock, subscribe or contact support to extend access.

Billing → Subscribe → complete Checkout → plan shows ACTIVE. Manage cards later via the customer portal when available.

Quick checklist

  • Account created and signed in
  • Email verified
  • Phone verified at /pro/verify
  • Workspace created at /pro/start
  • At least one client with a code
  • First Code lookup tested
  • Public /slug shared (optional)
  • Team invited (optional)
  • Billing understood / subscribed when due

Troubleshooting

  • Sent back to /pro/verify — finish both email and phone. Seats stay PENDING until both are done.
  • SMS code never arrives — confirm the number format (+country…), wait a minute, try resend. If the platform has SMS off, contact support.
  • Slug “needs approval” — pick a more unique slug, or wait for a referDot admin to approve a catalog match.
  • Trial ended / actions blocked — open Billing to subscribe, or ask support to extend the trial.
  • Teammate stuck PENDING — they must accept the invite and verify email + phone themselves.
